A Coaching Meeting Type is required to utilize Live Coaching. It is highly recommended that at least one is created for coaches to access the tool in the Calls tab.
The purpose of Coaching Meeting Types is to customize coaching workflow and set up rubrics for different types of Coaching Meetings. ExecVision becomes an all-in-one coaching program, where Coaching Plans can be used for Skill development in and outside of calls.
Admins can design these Coaching Meetings by hovering over to Settings > Build > Coaching Meeting Types. Existing Coaching Meetings are highlighted in blue on the Coaching Meeting Types page.
Anatomy of Coaching Meeting
Click New Coaching Meeting Type to create a Coaching Meeting Type.
Name the Meeting Type and select the Meeting category *Beta Feature* from the dropdown. The Meeting category gives an overview of what type of coaching will occur during the coaching meetings.
You can select from one of the five categories listed in the dropdown:
- Call Skill Development - for coaching plans that focus on one or two skills that are being trained on during the coaching sessions.
- Activity Metrics & Pipeline Review - for coaching plans that focus on a rep's recent, current, and upcoming deals or projects.
- Personal Development and Growth - for coaching plans that focus on career paths and related skills.
- Territory & Business Planning - for coaching plans that focus on project development and goal setting.
- Performance Reviews - for coaching plans that focus on a rep's overall development and progression to set goals.
The color-coded dots will populate on metrics and coaching plans to allow for quick identification of what category they relate to.
The 1st check box determines if the meeting will be the default meeting type when creating a new coaching plan. Note that there can only be one default meeting type.
The 2nd check box confirms if Coaching Meeting will be included in the call meeting or to enable Live Coaching. If checked, the standard skill questions and the Coaching Meeting questions listed below will be present in the meeting within Coaching Plans.
Question Structure
There are 6 columns to consider when creating Coaching Meeting:
Question Type: Select the type of this question. This determines how the answer field will be presented to the coach during the meeting.
There are 6 options for question types: 1-5 Score (default), Text Area, Text Field, 1-3 Score, Yes/No and Pass/Fail.
Selecting any of the scorecard schemes (1-5 Score, 1-3 Score, Yes/No, Pass/Fail) will automatically activate the Score Weighting out of 100.
Any added questions will automatically adjust the weight to equal 100. Text Area and Text Field do not include a weighted score.
Question Title: Type in the question text. This could be in the form of a question (Did the rep properly forecast Path 1 and Path 2 opportunities) or a simple statement (Goal review).
Optional: Checking this box to make the question optional. Leaving the box unchecked will mean it will not be required to complete the coaching session.
Who: Select who the question is applied to. When "Coach" is selected the question will be answered by the coach during the meeting. When "Rep" is selected the question will be answered by the rep before the meeting starts.
Coach Notes: Provide supplementary notes for the coach about the question. This is optional to include.
The notes will be shown on the meeting page when the meeting is in progress, but won't appear on historical meeting pages.
Score Weighting: Must total 100% between the questions and the call (Text Area and Text Field types are excluded). The form will automatically adjust other scores if your total goes above 100%.
Answers to questions will be multiplied by the question weighting, and then summed together to produce the total score for the meeting. If the meting counts towards the skill being coached, this score will be recorded in the historical plan progress.
Drag the bar lines to the left of Question Type to rearrange the question order. Click the Trash Can icon to delete the scorecard question.
Click Save to save your work, Cancel to delete changes or Delete Meeting Type to remove the Coaching Meeting permanently.
